How Conscience Coaching and Consulting CIC collects, uses, stores and protects personal information.

Conscience Coaching and Consulting CIC provides coaching, wellbeing support, workshops, walks, retreats and support for individuals, groups and teams.

2. What information we collect

We may collect personal information such as your name, email address, telephone number, information you choose to provide in an enquiry, email or booking, information needed to arrange or provide coaching, events or other services, and billing or payment information where you purchase a service.

Some information you choose to share when discussing coaching or wellbeing may be sensitive personal information. Please do not send detailed medical or highly confidential information through the website contact form. More detailed information can be discussed using an appropriate agreed method of communication.

Coaching notes

Angela may make brief notes during or after coaching sessions to support continuity between sessions and the coaching process. These may include information about topics discussed, goals, actions, reflections and other information that you choose to share.

Coaching notes are for Angela’s professional use and are not intended to be a verbatim record or transcript of a session. They are stored securely, access is restricted, and they are retained only for as long as there is an appropriate professional, contractual or legal reason to keep them.

Because coaching conversations can include information about health, wellbeing or other sensitive matters, coaching notes may contain special-category personal data. Where this occurs, that information will be handled in accordance with UK data-protection law.

3. How we collect information

We may collect information when you contact us by email or through the website contact form, book a coaching session or other appointment, enquire about or attend a walk, workshop, retreat or event, take part in individual, group or team coaching, purchase a service, or communicate with Conscience Coaching and Consulting CIC in connection with its services.

Website contact form

The website contact form is processed through Formspree. Formspree receives the information you enter into the form and sends the enquiry to Conscience Coaching and Consulting CIC.

The website currently asks for your name, email address, optional telephone number, the type of enquiry and your message.

Information submitted through Formspree may also be temporarily retained within the Formspree service. An enquiry may be retained separately where it is needed to respond to you, provide a service, maintain appropriate business records or meet a legal obligation.

Event bookings through Plinth

Bookings for walks, workshops, retreats and other events may be handled through Plinth. When you use Plinth, Plinth may collect information needed to manage your booking, attendance or payment, such as your name, contact details, booking choices and other information you choose to provide.

Plinth operates its own platform and is responsible for its own privacy controls and data handling. Please read Plinth’s privacy policy when using its service.

Appointment bookings through Calendly

Appointment bookings may be handled through Calendly. When you use a Calendly booking service, Calendly may collect information needed to arrange your appointment, such as your name, email address, chosen appointment time and other information you choose to provide.

Calendly operates its own platform and is responsible for its own privacy controls and data handling. Please read Calendly’s privacy policy when using its service.

Photographs and video

Photographs or video may be taken at walks, workshops, retreats and other activities. Where identifiable images are intended for the Conscience Coaching and Consulting CIC website, social media, publicity or other marketing, appropriate consent will be sought where required.

Taking part in an event does not automatically mean that you consent to your identifiable image being used for marketing. You can tell Angela that you do not wish to be photographed or filmed for promotional purposes without this affecting your participation.

Where use of an identifiable photograph or video relies on your consent, you can withdraw that consent for future use by contacting Conscience Coaching and Consulting CIC. Reasonable steps will then be taken to stop future use. Withdrawal may not always allow material that has already been printed, distributed, shared by others or otherwise placed beyond the organisation’s control to be recalled.

4. How we use your information

We may use personal information to respond to enquiries, arrange and provide coaching and other services, manage bookings, organise events, walks, workshops and retreats, communicate with clients and prospective clients, use photographs or video for agreed publicity and marketing purposes, send invoices or information relating to a service, maintain appropriate business records, and meet legal, tax, insurance, safeguarding or regulatory obligations.

We will not use information provided through an enquiry for unrelated marketing without an appropriate reason or permission.

5. Lawful basis for processing

Personal information is processed under an appropriate lawful basis depending on why it has been provided. This may include contract, where information is needed to arrange or provide an agreed service, consent, where you have made a clear and informed choice, legitimate interests, where information is reasonably needed to operate the organisation and those interests do not override your rights, and legal obligation, where information must be retained or processed to comply with the law.

Where special-category information is processed, such as information concerning health, an appropriate condition under UK data-protection law will also be identified. This may include explicit consent.

Where consent is relied on, including for particular uses of identifiable photographs or video, consent can be withdrawn at any time. Withdrawal does not affect processing that was lawful before consent was withdrawn.

6. How we store and protect information

Reasonable steps are taken to protect personal information and restrict access to people who need it for an appropriate purpose.

Information, including coaching notes where applicable, may be stored using email, booking, form-processing, payment, document-storage and other business systems used by Conscience Coaching and Consulting CIC.

Appropriate account security measures, such as secure passwords and multi-factor authentication where available, should be used to protect these services.

7. How long we keep information

Personal information is kept only for as long as reasonably necessary for the purpose for which it was collected or for a period required by law, tax, insurance, safeguarding, professional or other legitimate record-keeping requirements. Different information may therefore be retained for different periods.

Enquiry information may be retained while an enquiry or service remains active and for an appropriate period afterwards. Coaching notes are retained only for as long as there is an appropriate professional, contractual or legal reason to keep them. Financial records may be retained for the period required by tax and company law. Information that is no longer required should be securely deleted.

8. Sharing your information

Conscience Coaching and Consulting CIC does not sell personal information.

Information may be processed by trusted service providers where this is necessary to operate the website, run the organisation or provide a service. These may include Formspree for website contact-form submissions, Plinth for event listings and bookings, Calendly for appointment bookings when introduced, email and cloud-storage providers, payment or accounting providers, website hosting and security providers, and professional advisers, insurers, regulators or public authorities where there is a lawful reason.

These providers have their own privacy, security and retention arrangements. Only information reasonably necessary for the relevant purpose should be shared.

9. International processing

Some service providers may process or store information outside the United Kingdom. Where personal information is transferred internationally, appropriate protections should be used in accordance with UK data-protection requirements.

10. Your rights

Under UK data-protection law, depending on the circumstances, you may have the right to ask what personal information is held about you, request a copy of your personal information, ask for inaccurate information to be corrected, ask for information to be deleted where appropriate, ask for processing to be restricted, object to certain uses of your information, withdraw consent where processing relies on consent, and ask for information in a portable format where this right applies.

You also have the right to raise a concern with the Information Commissioner’s Office if you are unhappy with how your personal information has been handled.

11. Cookies and website data

The Conscience Coaching website does not currently use advertising or behavioural tracking technologies.

Third-party services linked from or embedded in the website may use their own cookies or similar technologies. For example, Plinth and Calendly may use cookies or similar technologies when you use their booking services. These are controlled by the relevant third-party provider rather than Conscience Coaching and Consulting CIC.

The website may contain links to or embedded services from third parties, including Plinth, Calendly and social-media platforms. Conscience Coaching and Consulting CIC is not responsible for the privacy practices, content or security of external websites.

13. Changes to this policy

This privacy policy may be updated when services, systems or legal requirements change. The latest version will be published on this website.
